FAQ
Should employers inform employees about state and federal laws that impact employment and payroll?
Yes, employers are required by law to communicate information about these laws by using posters which summarize the points of employment law. These are commonly displayed in break rooms or by a time clock. To remain in compliance, posters may be ordered by logging into our HR Support Center and clicking on the Resources tab.
I serve on the board of a nonprofit organization. How can we be sure that the volunteers working with our youth are reputable?
Great question! Proper background screening can provide you peace-of-mind and ensure the safety of our children. Future Systems offers affordable background screening (including sex offender registries). Read more on our Background Screening page, and see our National Crime Search page.
What is Tax Pay & File?
Our Tax Pay & File service collects appropriate tax funds in a timely manner and distributes the monies to the proper authorities. We then take responsibility for the preparation and filing of the necessary tax forms with procedures in place to ensure compliance for both federal (EFTPS) and state (EFT) payment requirements. For your protection, we are fully insured.
Can we import our timecard information?
Definitely! Everyone captures this data in a different manner – call Future Systems today at 1-800-453-5809 for a personalized import function.
We offer direct deposit to our employees. When should we submit payroll information?
For funds to be available to employees on payday, companies utilizing direct deposit should plan to have their data processed at least 48 hours before check date. This allows enough time for electronic files to be processed according to NACHA (National Automated Clearing House Association) regulations. Please keep in mind that Future Systems does not set these rules and regulations, we simply try to abide by them to ensure your employees are paid on time!
Isn’t an automated timekeeping system expensive?
Actually, implementing an automated timekeeping system may actually save you money! Use our handy wasted labor calculator to estimate your savings. We offer several timekeeping solutions – from very simple to biometrics. See our Time & Attendance page, and call us for a solution to fit your needs.
What are pay cards?
Pay cards are debit cards that were initially implemented to offer an electronic payment solution for “unbanked” employees – those with no bank account. Pay cards are like debit or credit cards; they are PIN-driven and can be used in many locations to make purchases or withdraw cash. If lost, they are easily replaced. There is no cost to the employer and a minimal monthly fee is paid by the employee directly to the issuer of the card. Pay cards are part of Future Systems’ Payroll Services.
What is web-based payroll?
Web-based, or paperless, payroll is widely used throughout the payroll industry. Paperless payroll saves time, storage space and money! Employers receive reports immediately after the payroll processes via electronic mail and employees using direct deposit or pay cards receive pay stubs on check date via a secure e-mail. This paperless option is another great reason to encourage direct deposit! Our Payroll Services page explains this and other time-saving payroll services.
Won’t we lose touch with our workforce by using Employee Self Serve?
Absolutely not! In fact, you may find that employees are more willing to share pertinent information such as address changes or changes in exemptions when they can see the data you currently have on file. Employees may also view their check stubs and W-2 information which greatly reduces the requests for “lost” information. Each employee receives a secure login and password and can access their information from any computer. So enabling Employee Self Serve saves you time that you could spend fulfilling other needs.
